Privacy policy
Australian Privacy Principles policy for Coolangatta First Aid students, enquirers and workplaces. Applies to nationally recognised VET delivered on behalf of ABC Licence Training RTO 3399.
Who we are
Coolangatta First Aid (ABN 81 159 036 334) delivers nationally recognised vocational education and training (VET) from Unit 15, 39–41 Corporation Circuit, Tweed Heads South NSW 2486. Training and assessment is delivered on behalf of ABC Licence Training RTO 3399.
This policy explains how we handle personal information when you enquire, enrol, complete online learning, attend class, or contact us. It is written to meet the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and the extra rules that apply to VET student records and Unique Student Identifiers (USI).
For privacy matters email us via the contact form on this website, call 0431 011 352, or write to Coolangatta First Aid, Unit 15, 39–41 Corporation Circuit, Tweed Heads South NSW 2486.
The education records we collect
To enrol you in a nationally recognised unit we collect the information a registered training organisation must hold. That usually includes your full legal name, date of birth, gender, contact details, emergency contact, Unique Student Identifier (USI), employment and education background where the enrolment form requires it, language, literacy and numeracy information, and any disability or support need you choose to tell us about so we can adjust assessment reasonably.
We also collect assessment evidence: online theory results, practical observation records, incident-report exercises, attendance, and the outcome we report for your statement of attainment.
If your employer books your place we may receive your name, role, course required and workplace contact from that employer. We treat that as your student record once you enrol.
Your Unique Student Identifier
Nationally recognised VET in Australia requires a USI under the Student Identifiers Act 2014. We collect your USI only to create or verify your identifier, report your result, and issue your statement of attainment. We do not use a USI for marketing.
We store USIs with the same care as other student records and disclose them only to the Student Identifiers Registrar, ABC Licence Training as the issuing RTO, and other bodies the law requires (for example the National Centre for Vocational Education Research, or a regulator).
Other information we collect
Booking and payment details (name, mobile, email, course, class date, and the payment reference our booking system records). We do not store full card numbers on this website.
Workplace enquiries: contact name, company or organisation, phone, email, and what you need trained.
Messages you send through our contact form or AI assistant, including any contact details you type there.
Technical data such as IP address, device and browser type, pages viewed, and approximate location, used to run and secure the site.
If you visit our training venue we may record CCTV or access logs where those systems are in use for safety and security. Signs will be displayed if cameras operate.
Why we collect it
We collect personal information only where it is reasonably necessary for our training business, including to: take a booking and payment; enrol you with the RTO; collect your USI; deliver and assess the course; issue a statement of attainment; meet Standards for RTOs and ASQA reporting; contact you about class changes, pre-course work or certificates; answer enquiries; send a workplace quote; improve the site; and handle complaints or incidents.
Some collection is required by law. If you do not provide a USI and your legal name we cannot issue a nationally recognised statement of attainment.
How we collect it
We collect information from you when you book online, complete enrolment or online theory, attend class, call us, use the contact form or AI assistant, or email us. We may also collect information from your employer if they book on your behalf, from the USI Registry Service, and from the RTO that issues your certificate.
We collect information by fair and lawful means. Sensitive information (for example health or disability information you give us for reasonable adjustment) is collected only with your consent, or where the law allows.
Who we share it with
We do not sell your personal information.
We share what is needed with: ABC Licence Training RTO 3399 (enrolment, assessment and certification); the Student Identifiers Registrar; NCVER and other VET statistical collections required by law; ASQA or another regulator if they lawfully request records; your employer where they paid for your place and need confirmation of attendance or outcome; payment and booking processors that run the live booking page; our AI contact provider (Sophiie) when you use that form or chat; website and email hosts; and professional advisers or insurers if a claim or complaint arises.
If we are required by law, a court or a genuine emergency (for example a medical incident in class), we may disclose information to emergency services or a regulator.
Overseas disclosure
Some of our service providers may store or process information outside Australia. That can include the booking page, payment processing, the AI contact form, and website hosting. Where we disclose personal information overseas we take reasonable steps so those providers handle it in a way that is consistent with the APPs, and we tell you here that this may occur.
We cannot promise that overseas servers are covered by Australian law. If you do not want your enquiry handled by the AI assistant, call us or use a form that stays on our own site.
Storage, security and how long we keep records
We store records in access-controlled systems and limit staff access to people who need the record to do their job. Paper enrolment copies used on class day are stored securely and destroyed when they are no longer required for audit.
VET student records (including assessment evidence and results that support a statement of attainment) are kept for the period required by the Standards for RTOs and ABC Licence Training policy — generally at least 30 years for results that appear on a qualification or statement of attainment, and a shorter period for supporting assessment evidence as the Standards set out. Booking, payment and enquiry records are kept only as long as we need them for the class, tax, dispute or safety reasons, then deleted or de-identified.
Direct marketing
We may email or text you about a class you booked, pre-course work, certificates, or a course that is due for renewal (for example yearly CPR). That is part of delivering the training, not a separate marketing list.
If we send general course news, you can opt out using the link in the message or by calling us. We will not use your USI or assessment results for marketing.
Children and young students
Our public first aid and CPR classes are aimed at adults in work. If a student is under 18, we collect only what we need to enrol and assess them, and we deal with a parent or guardian where that is reasonable. We do not knowingly use children’s information for marketing.
Access, correction and complaints
You may ask for access to the personal information we hold about you, or ask us to correct it, under Australian Privacy Principles 12 and 13. We will respond within a reasonable time. We may refuse in the limited cases the Privacy Act allows (for example where it would unreasonably affect someone else’s privacy) and we will tell you why.
If you are unhappy with how we have handled your information, contact us first using the details above. If we cannot resolve it, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
Student complaints about training, assessment or certificates are also covered in the ABC Licence Training student handbook.
